A S Hornby Educational Trust Privacy Policy  

(to be read in conjunction with policies, the Hornby Scholarship Questionnaire
and Certificate Procedure and the General Data Protection Regulation [GDPR]
which came into force on 25 May 2018 in the United Kingdom and has replaced
the UK Data Protection Act 1998)

Background

The A.S. Hornby Educational Trust was established by A.S. Hornby in 1961 and registered (Reg. No. 313394) with the Charity Commission in 1962.

The charitable objects of the Trust are:
“The advancement of the study of English as a foreign language and the teaching of English as a foreign language.”

The Trust mainly (though not exclusively) focuses on the improvement of English learningand teaching within public education in low- and lower-middle-income countries.
The Trust does not own property or have premises, or have any full-time employees, it has apart-time Secretary and professional financial advisers. Consultants and contractors are also retained for specific assignments on an ad hoc basis. Individual Trustees also provide advice and assistance as required. Hornby Scholarship alumni are becoming increasingly active as a unique global resource supporting and furthering the objectives and work of the Trust.

The Trust has long and well-established partnerships with the British Council and OUP.

Scholarships

The Trust funds 1 year scholarships to enable promising ELT professionals from overseas countries to undertake full-time Masters programmes at UK universities. The Hornby Scholarships are managed for the Trust by the British Council, who also contribute towards some programme costs. Since 2014 all Hornby Scholars have been based together at Warwick University.

All these bodies hold personal data for individuals who have applied for awards and are responsible for the data they have collected. The British Council also passes on the details of successful scholarship applicants to the Hornby Trust (see Hornby Alumni below) and updates on their academic progress.

Hornby Alumni

The Hornby Scholarships have developed a strong professional reputation, further enhanced through the participation of each year's cohort in professional activities. Scholars who have successfully completed their Masters degrees are entitled to bid for financial support from the Trust to enable them to undertake professional and/or organisational projects in their home countries. Two alumni per year are also funded to attend the annual conference of IATEFL www.iatefl.org report on completed projects. Hornby Alumni are increasingly active in developing networking tools (including a Facebook group https://www.facebook.com/groups/1554977164806200 and a Yahoo group).

In its scholarship award letters, the British Council will make it a contractual condition of the scholarship for scholar contact details to be passed to the A.S. Hornby Educational Trust so scholars can be invited to join the Alumni association / contacted regarding alumni activities. The A.S. Hornby Educational Trust holds some information relating to scholars and alumni on a database. This information includes the year they attended the UK university as a scholar, their name, country or origin, course title/completion/result and email address. Whilst attending the university in the UK they are handed a ‘certificate of achievement’ which has a unique number relating to the scholar, this is also logged on the database. A questionnaire is sent to the scholars at the end of their time in the UK and on return to their own country. Once completed and returned to the Trust, and if the scholar has given their permission, their name, email address, university where they studied will remain on the database as outlined in paragraphs below referring to personal data and a person’s legal rights. The scholars are required to answer several other questions either giving or not, their permission to hold their responses on the database. Please refer to the Hornby Scholarship Questionnaire and Certificate Procedure. The A.S. Hornby Educational Trust will not hold addresses and telephone numbers on the database unless given explicit permission to do so.

Regional Hornby Schools.

Each year the Trust funds a number (typically 3 p.a.) of regional schools to enable ELT professionals from countries in selected geographic regions to come together for
professional development and networking purposes. The British Council organizes the Regional Schools, and contributes to some of the costs (as do local partner institutions). Hornby alumni have been increasingly active in supporting and participating in Schools held in their regions.

Personal data held by the Hornby Educational Trust

Any personal information you give us necessary to provide you with such services will be treated as confidential. When transferring such personal information to others within the EEA or other territorial area to provide such services, we ensure that appropriate and suitable safeguards and technical measures are in place to protect your personal data. We will only keep records of your personal information for as long as is reasonably necessary for the purposes for which we have collected it, and to enable us to comply with any statutory or regulatory obligations in relation to retention of records.

Your legal rights

You have the right to request access to and rectification or erasure of personal information, the right to restrict processing of your personal information, and the right to object to processing of your personal information. You have the right to object to your personal information being processed on the grounds of the A.S. Hornby Educational Trust‘s legitimate interests. You have the right to object to us sending you direct marketing at any time, and we will only send you direct marketing material if you have specifically asked us to do so and where we feel such material may be of genuine interest. You have the right to lodge a complaint regarding our processing of your personal information with a data protection supervisory authority in a country where you live, work, or where you believe a breach may have occurred.

Direct emails, marketing and advertising

The A.S. Hornby Educational Trust does not send marketing or advertising messages or emails to outside contacts. Email sent to us may not be secure. If you choose to send us an email message we may retain the content of the email, your email address and our response for the purposes of quality control. You may request that such information be deleted at any time by mailing secretary@hornby-trust.org.uk , referencing the email correspondence to be deleted.
